How to set up inventory?

Create items and packagings

– Application Menu > Consumables > Inventory > Items

Several search filters are available depending on user rights.

Add a new item to the inventory

– Application Menu > Consumables > Inventory > Items > Create

Fields followed by an asterisk* must be filled out.

Management: the choice of the management unit (volume, weight, or unit) will display the corresponding possible stock units.

Stock Unit: it’s the item’s delivery unit, used in the packaging composition. Unit suggestions depend on the Management unit.

Section Packagings > Pack: details the grouping of items in the selected packaging: box, packet, pack, carton, or bag of X units.

It’s also possible to specify, when creating an item, its link with another already created item, by selecting it in the Linked to the item field, such as a mask and its filter cartridges.

For this, the Parent items for consumable items option must be activated.
(see Enable an option)

Photo Section: Choose the photo that will also appear when hovering over the item’s name in the Item List.

Documents Section: to associate a document with the item card.

Create a brand

When the user has the rights, it’s possible to create a brand in two ways:

Via the Item card by clicking on Add to the right of the Brand field

Via the menu Consumables > Brands >

It’s possible to archive a brand to no longer display it in the item card. To do this, click on the brand card’s edit button and select Yes to Archived.

In edit mode, the Brand card also allows attaching a file related to the brand.

Stock thresholds

For each item, it’s possible to specify the minimum and maximum stocks not to be exceeded, as well as, when the minimum stock is reached, the number of items it is advisable to order.

Several people can be alerted of the set thresholds by entering their email addresses, separated by a comma.

1. Click on the Stock tab of the Item card
2. Click in the Stock and alert thresholds section to open the setting form. Each group can have its own alerts.

In the item list, reaching the set thresholds is illustrated by color codes:
• red when the stock quantity is below the minimum stock
• green when the stock quantity meets the expected values
• yellow when the stocked quantity is above the maximum stock

The threshold is monitored on the quantity of the packagings.
The maximum and minimum quantity columns indicate the quantities of the items.

Packagings

An item can have several packagings.

The packaging can be created in several ways:

When creating the item:
In the item detail card, the Packagings section allows directly creating a new packaging. Provided the user has the rights, click on the of the section to open the form.

From the menu:
– Application Menu > Consumables > Inventory > Packaging

The SKU is the Stock Keeping Unit, or the Inventory Management unit, which indicates the organization of items delivered by the supplier.

These actions are located at the bottom of the results list.

Edit the list of items

Export the list.
The export includes all the created items and any stock monitoring. The export is based on the result of the search performed.

Edit the consumptions

Consumptions
Indicates the items for which units have been consumed. The export is based on the result of the search performed in the item list.

Generate the inventory

Inventory
The inventory allows noting the stock differences of packagings and items for the different references. The edited inventory is based on the search result of the Item List.
Each packaging of an item is represented by a line in the inventory.

How to manage stocks?

Batches

– Applications Menu > Inventory Management > Batches

By default, batches received for their own group are displayed, but it is possible to view all items in stock by selecting All groups in the Group field.

Remaining Qty: The indicated value searches the list of items that have at least the indicated quantity in stock.

The search can be done from the items added to the cart by checking the Filter with cart items option.

Each batch, provided the user has the rights, can be moved or removed from stock individually using the actions at the end of the line.

The adapted form that is displayed then takes up the information related to the batch. Each movement or evacuation can be done by packages or by items.

Stock Monitoring Items

– Applications Menu > Consumables > Inventory Management > Stock Monitoring Items

It is possible to consult the stock monitoring set up for your group.
Filters are available to refine the search.

Quantities are displayed in red when thresholds are exceeded, and in green when they are met.

When the user has the necessary rights, they can modify the stock monitoring of the item by clicking on the hyperlink of its designation.

Stock monitoring is also configurable in the Stock tab of the Item file by clicking on the of the Stock and alert thresholds section.

It is possible to monitor only a maximum quantity or only a minimum quantity.

The holders of the email indicated in the form receive an email informing them of the reaching of the thresholds.

Movements

The movement list records stock entries and exits. The type of movement (Entry E/S Exit) is indicated by the initial in the Direction column.
When the movement is a regularization correcting the inventory, the background of the direction letter cell is pink.

Filters are available in the movement list. It is possible to search simultaneously for several locations.

Regularization

– Applications Menu > Inventory Management > Regularization

The Regularization form allows, by item, to regularize a stock that displays too many or not enough items compared to an inventory made.

The item selection displays the known quantity in stock.
The current date is displayed, but it can be changed.

New Entry

– Applications Menu > Inventory Management > New Entry

The stock entry form is displayed on the right side of the screen.
The item selection displays the existing packaging.

The Movement section of the Batch tab allows specifying a possible regularization.

The New entry function is also available in the Actions column of the item list and in the item file when the user has the rights.
Opening the form in this way automatically selects the item in the form.

Consume

Consuming an item removes it from stock.
Consumption is done either by Items or by Packaging by selecting the option in the Item section.

How to manage needs?

The needs module allows tracking a request from its expression to its delivery. The functions described below are subject to rights set by the database administrator.

Express a Need

There are two ways to express a need:

Method 1 :
From the list of articles, in the Actions column, click on

Method 2 :
– Applications Menu > Consumables > Needs > Create

Fields with a blue background are assisted input fields that allow you to choose from the suggested options.

Location: The field indicates the final storage location.

Once registered, the need is displayed on the right side of the screen and summarizes the request.

The instruction of the request will be recorded later in the Follow-up section.

The validator receives an email informing them that a new need has been expressed, with the various elements of the request, depending on the settings of the administrator.

The requester will receive an email informing them of the acceptance or refusal of their request once it has been processed. CC recipients can be set.

Validate a Need

Validating replenishment requests is a right given by the platform administrator.

– Applications Menu > Consumables > Needs

Search filters are available.

By default, the list of replenishment needs displays those awaiting validation.

Click on the item name to open the replenishment need form

Click on the validation action buttons: Accept or Reject

It is also possible to access the detailed replenishment need form by clicking on the Group name in the Replenishment Needs section of the Stock tab of the Article form.

The requester will receive an email informing them of the acceptance or refusal of their request once it has been processed. Several recipients can be defined.

Place a Need as an Order

The user in charge of tracking orders receives an email informing them that a need has been validated.

The list of approved needs to be ordered is displayed when the Status: To be ordered filter is selected.

Click on the hyperlink of the need to open its detailed form

Change the status to Ordered

Receive an Order

When an order is delivered, click on Receive to register the delivery-related information.

The displayed form allows you to enter the information related to the delivery. Fields followed by an asterisk are mandatory.

Perform simultaneous actions with the cart

The cart is a grouping tool and grouped actions on items. The number of cart creations is unlimited. Carts are personal to the user and not shareable.

Add items to the cart

When it is desired to perform the same action on several items:

Method No. 1:
Check the Cart column of each concerned item.

Method No. 2:
Use the Add All to cart link at the bottom of the results window to add them all to the cart in a single operation.

Distribute several items simultaneously

– Cart Menu > Items > Move items

The form displayed when selecting movement via the cart offers a list of in-stock items, potentially available in various packaging.

Remove several items from stock simultaneously

– Cart Menu > Items > Consume items

The form displayed for the stock exit via the cart, by default per item, offers the list of in-stock items, potentially available in various packaging.

Any movement or consumption automatically updates the stock history.

Simultaneously regularize the stock of several items

– Cart Menu > Items > Regularize items

The cart allows you to regularize the stock of several items using a single form, either in entry or exit.
