Principle

The exposure sheet for employees exposed to hazardous chemicals is required by law, in application of decrees n°2001-97 of 1/02/2001 and 2003-1254 of 23/12/2003:
“The employer keeps an up-to-date list of workers exposed to very toxic, toxic, harmful, corrosive, irritant and sensitizing hazardous chemical agents, as well as carcinogens, mutagens and agents toxic to reproduction (CMRs). “

The nature of the exposure, its duration and its degree, as known […] and which makes it possible to:

  • Qualify the risk: product identification, hazard categories, physico-chemical form,
  • Specify exposure conditions: collective and individual protective equipment, duration of exposure (exposure time, number of manipulations),
  • Reference the conditions of accidental exposure (rupture of containment, spillage, projections, etc.)

Each worker concerned is informed of the existence of the exposure sheet and has access to the information concerning him or her. He or she is informed by e-mail when the forms have been validated.

A duplicate of the annual form is sent to the occupational doctor and other stakeholders, who can be configured.

There are three kinds of declarations in Quarks Safety:

  • One-off declaration: this is the declaration of exposure to a product, based on a bottle number. It can also be used to report accidental exposure.
  • Declaration by period: this is the declaration in which the various exposures to a product are grouped together in a single entry, for a given period or the duration of a project.
  • Annual declaration: this is the declaration given to the doctor and kept by the human resources department. It is generated automatically by Quarks Safety from one-off and period declarations made during the calendar year. It requires the approval of a manager.

Approach

The employee fills in the risk exposure sheet, on an ad hoc basis and/or by period, and then asks his or her manager to validate it.
When the declaration is accidental, the validator is immediately informed.

The manager validates the periodic declaration, which generates an individual exposure sheet.
Declarations can only be validated once the employee’s referent has been entered (see Configuring employees).

At the end of the year, the annual declaration is requested by the user and validated by the manager. It is possible to configure access to users’ annual records for different departments within the company, such as the HR department (for archiving in the employee file), the company doctor, the department manager, and so on.

At the end of the year or before the departure of an employee, the annual exposure record must be validated.
The employee ending their contract is informed one month before their departure about the need to complete an exposure record. A reminder is sent to the validators on December 15th to emphasize the importance of validating the annual declarations.

To access the declarations:
– Applications menu > Chemical Products > Risk Analysis > Individual Exposures > Annual Declarations.

Filters are available to sort the declarations based on different criteria:

  • Employee: Select their name from the list
  • Validator: Select their name from the list
  • Year:
  • Validation Date: Limit the search to a specific period
  • Status: State of the declaration

The list of declarations by period allows users to check the status of the declarations, which can be modified based on the rights users have.
To validate a declaration, the user must have the status of a reference on the user’s record.

The reference can also open the record to Validate the exposure form.

Consult Periodic Declarations

The list of periodic declarations allows you to check the status of declarations, which can be modified depending on the users’ permissions.

Access the Declarations List:
– Quick Access Exposures

– Applications Menu > Chemical Products > Risk Analysis > Individual Exposures > Periodic Declarations

To validate a declaration, the user must have the status of reference on the user’s profile.

The reference person can also open the profile to Validate the exposure record.

Periodic and annual declarations can be accessed via the symbol on the product line or in the detailed record via Declaration, as long as validation is requested.

In the printed individual exposure record, products are always organized by hazard level, and exposures to CMR and/or STOT are distinguished.

It is possible to request validation of an annual exposure when validations of periodic exposures have been requested.

However, it is impossible to validate an annual exposure until all periodic exposures have been validated.

 

Declaration Lines

The list of declaration lines provides a comprehensive view of all declarations made by employees.

Access the Declaration Lines List:
– Applications Menu > Chemical Products > Risk Analysis > Individual Exposures > Declaration Lines

You can filter the results:

  • by employee: Select their name from the list
  • by product: Assisted input: enter the first letters of the name to display a list
  • by team: Select their name from the list
  • by year

Click on the column headers Occurrences or Average Duration to change the sorting order of the values.

Add a single exposure declaration

Access the List of Single Declarations:

– Applications Menu > Chemicals > Risk Analysis > Individual Exposures > Single Declarations > Create

The declarant group is retrieved.

– Select a product (Only products with usage approval are proposed)

A single exposure is always automatically added to the declaration for the current period.

When there is no current period for the declarant, it is automatically created with the current date of the single declaration.

When the same product is declared multiple times as a single exposure, for the same use, the information is synthesized in the periodic declaration, possibly added to what has already been declared in the periodical declaration: average quantity and duration are calculated.

When one or more single product declarations are added to an existing periodic declaration, the EPC and EPI of the periodic declaration are retained for display.

Add an accidental exposure declaration

The accidental exposure declaration is made in the same form:

– Applications Menu > Chemicals > Risk Analysis > Individual Exposures > Single Declarations > Create

Checking Accidental Exposure allows you to select any product from the inventory, whether its authorization is approved or not.
In this case, in the Usage dropdown list, select Other.

In the list of single declarations, accidental declarations are distinguished.

An email is automatically sent to the occupational physician and the desired stakeholders regarding the occurrence of the accident (HSE manager, laboratory director, manager, etc.).

It is possible, through activities, to generate individual exposure sheets.
Only uses or activities that are recorded can be associated with individual exposures.

Associated options: (see Activate an option)

  • Frequency with duration
  • Exposure potential entered by EPCs
  • Exposure potential entered by PPEs
  • Potential individual exposures
  • Multiple potential exposures per product
  • Usage frequency on potential individual exposures
  • Entry of exposure levels by activity
  • Individual exposure declarations


Order of operations:

1. By activity, select the concerned employees and assign them exposure frequencies/durations.

2. Employee by employee, search and possibly export all individual exposures.

Create individual exposures by activity

– Applications menu > Chemical Products > Risk Analysis > Activities

In the Activity List:

1. Click on the name of the activity to which exposures are to be associated.

2. Open the Exposed People tab.

3. Click on to assign exposures to the concerned employees.
The list of employees attached to the group appears.

Exposure Section:

Specify the collective exposure history.

Employee Section:

Check the concerned employees.
Adjust individual specifics if they differ from the collective information.

Note: if the risk assessment has been recorded, the data will be included in the exposure sheets.

After saving, the number of exposures linked to the activity that will have been associated with it will appear, per concerned employee.

Open the exposure sheets by employee

– Applications menu > Chemical Products > Risk Analysis > Individual Exposures

In the List of Individual Exposures:

1. Select the desired individual exposures using the filters.

2. The list of exposures appears below the search, with the risk assessment data.

3. Click on a product to see its individual exposure sheet.

The employee (or their manager, depending on the roles) can modify certain frequency or duration of exposure parameters, add comments, and indicate their forecast to use the product the following year.

If desired, an Excel export of the List of Individual Exposures is possible via List at the bottom of the results table.

It includes exposures and the result of the risk assessment.
