Adding and moving a location

Add a location

Show location list:
– Applications Menu > Chemicals > Locations

1. Click on the location in which a new location is required, or on theaction

Its detailed data sheet opens in the panel.

2. Click on din the Sublocations section

– The location type can be used to declare other sub-locations.
For example: a building on a site, a room in a building, a cupboard in a room.
– The type of storage determines the actions that can be performed on a bottle.

Use: bottle infeed, displacement, evacuation.
Reserve: utilization function and needs management (optional)
Evacuation area: flasks stored in this area are not included in the inventory calculation.
No storage: makes it impossible to move flasks to this location.

3. Save

Move a location

Please note:
Changing a location moves the flasks stored there.

1. Click on the location to be moved or on the action

Its detailed data sheet opens in the panel.

2. Move section :
Located in: Assisted input. Enter first letters to obtain a list of locations.

Categories and sub-categories

How to set up categories?

Freely customizable categories create an additional filter in the List of Products. When categories are activated, the settings are proposed when creating the product sheet.

Display the List of Categories:

Applications menu > Chemical Products > Configuration > List of Categories

Several options can be activated:

Product Category – Unique:

Prerequisite:
– the Unique Category option must be activated
(see Activate an Option)

Allows assigning a single category to a product, and possibly a sub-category if configured.

Product Category – Multiple:

Prerequisite:
– the Multiple Category option must be activated
(see Activate an Option)

To assign multiple categories to a product.
The ability to assign multiple categories makes sub-categories unavailable.

Display the category(s) in the list:

Prerequisite:
– the Display the category(s) in the list option must be activated
(see Activate an Option)

Adds a Category column to the right of the ICPE or Danger column, depending on the activated options.

Display the category(s) under the product:

Prerequisite:
– the Display the category under the product option must be activated
(see Activate an Option)

Displays the category under the product name wherever it is displayed in the other platform modules.

In the SDS search on the dashboard, the category is displayed only in the case of the activation of the Product Category – Unique option.

Accessible to the database administrator

Create categories and sub-categories

– Applications menu > Chemical Products > Configuration > List of Categories > Create

Select the name of a category to open the window allowing you to create sub-categories using

Accessible to product managers

Specify the category and possibly the sub-category in the Key Information section of the product sheet.

Accessible to everyone

From the List of Products, in the search area under the Categories filter: select the categories or sub-categories of your choice.

Filtering only on a product’s category displays all products in the category, across all sub-categories.
Simultaneous selections are possible in the same search.

Deduplication of manufacturer’s products

When users have the right to create products, duplicates can be created.

To identify them:

– Applications menu > Chemical Products > Configuration > Product Manufacturer Deduplication

1. Search to start the search.
Quarks Safety searches for products that have at least in common

Designations and references
References and manufacturers
Designations and manufacturers

2. Select in the To Merge column the products to be grouped.

3. Select in the Master column the product whose information will be retained after the merge.
By default, the Master file is the first on the list.

4. Confirm with Merge.

Merging principle

The merging logic is as follows:

If information is missing in the master file, those from the other file, if they exist, are imported.
If the information is present in each file, those of the master file are retained.
Storage-related information is pooled (depending on the options activated)
– Purchase references
– Uses
– Current stock
– Stock monitoring
– Flask list
– Batch list

The product file created following the merge is automatically displayed on the right side of the screen.

When there are more than two files merged simultaneously, the system merges two files at a time, as many times as necessary, according to the principle mentioned above.

Therefore, the system records the information from the first file, the “Master”, and retains it until the end of data processing.

The file merge and the sharing of associated information removes any confidentiality from one of them.

The date of the most recent SDS is a reference for selecting the file that can be selected as Master.

Declare a Sub-location

Display the List of Locations:
– Applications Menu > Chemical Products > Locations

1. Select a location by its location or by the action to open the detail form in the panel.

This form varies according to the type of selected location to display all related information.

2. Sub-locations section: Click to open the New Sub-location form.

3. Name: Name the new location.

4. Type: The types of sub-locations offered depend on the parent location.
For example: a building on a site, a cupboard in a room, etc.
Declaring a location as a room allows you to add any present PPE (Personal Protective Equipment).

The type of storage determines the functions that can be performed with the flasks:

Reserve: will display or not the available quantity in the Reserve column in the Product List (new products).
Usage: will display or not the available quantity in the In Use column in the Product List (new products). Zones where flask movements and evacuations are possible:
No Storage: the location will not be proposed during stock entry.
Evacuation Zone:
Yes: flasks stored in this location will not be counted in stock calculations.
No: flasks stored in this location will be counted in stock calculations.
Accessible to: the sub-location inherits access settings from the parent location.

5. Save

Declare Operating Rights

Operating rights specify the visibility of locations for each group.

Prerequisite
– the Activate visibility restriction option for places must be activated.
(see Activate an option)

1. Operating Rights section: Click to open the New Operating Rights form.

Confidential:
Yes: restricts the rights of viewing and using the location to the designated group.
Accessible to: reduces visibility and use of the location to the designated user, filtered on the selected group.
Guest: allows the selected group (or designated users if Confidential is checked) to use this location even if they don’t own it.
This option is set up in databases that deploy the Orders Hub module.
Permissions:
Storage: Only storage locations can receive flasks.
Usage: Only usage locations can be declared during restocking requests in the Orders Hub module.
Chemical Products: Is the location intended for storage or use of chemical products?
Consumables: Is the location intended for storage or use of consumables?
Propagate: permissions given in this setting are reported on all sub-locations.

2. Save

Move a Location

1. Select the location and click on Edit.

2. Move section:
Located in: Assisted entry. Enter the first letters of the name to choose from the list the destination location.
Flasks stored in the location will also be moved.

3. Save

Number of Flasks Stored in a Location

Prerequisite
– the Display total number of flasks option must be activated.
This option calculates the total stock of a location and its sub-locations.
(see Activate an option)

For each location, the quantity of flasks is specified in the results list as well as in the detail form.

In the location’s detail form, it is possible to have an Excel export:

For the location with Flasks of this location
For the location’s room with All Flasks

Add a PPE to a Location

Adding a PPE to a room allows you to retrieve the information when assessing the risks of uses (the option must be activated).
It is possible to add a PPE only in locations of type Room.

Display the List of Locations:
– Applications Menu > Chemical Products > Locations
1. Filter the results using the Type criterion: choose Room and start the Search.

2. Select a location by its location or by the action to open the detail form in the panel.

3. Edit
In the PPE section, select the PPE present in the room.
Each PPE appears associated with a pre-checked box.

4. Save

The list of PPEs is set in Chemical Products > Configuration > Risk Analysis > PPE

Depending on the number of selected options, the configured PPEs are viewable in the Equipment tab of the Location form.

Manufacturers management

Add a Manufacturer During Product Creation

When creating the product form (see Add a Product), the Manufacturer field is assisted. Just enter the first few letters of a name to get a list of suggestions.

Create a Manufacturer During Product Creation

If the manufacturer does not appear in the list, you can add it directly by clicking on next to the Manufacturer field.

Add a Manufacturer Through Manufacturer Configuration

– Applications Menu > Chemical Products > Manufacturers > Create

Complete the form fields by at least filling in the Name field.

Associate the downloader

When the supplier site is optimized for it, Quarks Safety creates downloaders to allow automatic downloading of SDS (Safety Data Sheets).

1. Once the list of manufacturers is imported, click on the manufacturer’s name to open its form in the panel.

2. Edit

3. Downloader section:
Once the downloader is identified, click on the suggested name to associate it automatically.

4. Save

Create the downloader

When the downloader is not detected but is available, it can be consulted at:
https://status.quarks-safety.com/

1. To add a downloader with a compound name, simply write the name in the Downloader field without spaces.
Example: Alfa Aesae becomes AlfaAesae

2. Save

Merge manufacturers

Display the List of Manufacturers:
– Applications Menu > Chemical Products > Manufacturers

1. Click on the Name column header to sort the manufacturers alphabetically.

If a duplicate is noticed:
2. Click on one of the names to open the manufacturer’s form in the panel.

3. Manufacturer section:
On the Merge line: Click on Mark this manufacturer to merge it into another

4. Select the other manufacturer from the list.

5. Manufacturer section:
On the Merge line: Click on Import the data and delete the manufacturer.

Repeat as many times as there are manufacturer duplicates.

Link an instruction file to a use

Applications Menu > Chemical Products > Analysis and Risks > Uses and Risks

1. Select the concerned product (column Product or action )
By clicking on action , you can directly open the product sheet in edit mode and move on to step 3.

Instructions: Click Browse to select the file.
The name of the file appears associated with a pre-checked box.

4. Save.
The file is now attached to the use.

Budget line and PPE for groups

Prerequisites

Creation and Configuration of Groups

To create a new group:
– Applications Menu > Administration > Groups > Create

Name: Name the group.
Short Name: Optional field.
Description: Enter a description if necessary.
Budget Line:
To be filled in when the option Budget Line in the group’s form is activated.
PPE (Personal Protective Equipment): To be filled in when the Risk Assessment module is deployed.
Select the usual PPE used by the group from the dropdown list. Completing this field allows you to automatically retrieve the PPE during any risk assessment for the group or when filling in the individual exposure form (can be activated as an option).

Reasons for missing MSDSs

By default, the option Add a reason for missing MSDSs is activated.
If no products without MSDSs are accepted in the product database, deactivate the option.

Display the list of MSDS remarks:
– Applications menu > Chemicals > Configuration > Reasons for missing MSDSs

Add an MSDS note :

3. Associated date: If you wish to associate the date with the MSDS note.

It is also possible to delete one or more proposals configured by default in the platform using actions.

Checking SDSs

Each SDS contains a revision date and a verification date.

From the Product List:
– Applications Menu > Chemical Products > Products

1. Click on the designation of the product to open its file.

2. Go to the SDS tab, under the Current SDS section:

SDS verified on: This is the date the user checked the SDS version.
Revision date: This is the date the product’s manufacturer modified the SDS.

When the revision date is known, it appears in the SDS columns of the Product List and the SDS Search on the dashboard.

Sort SDS by revision date

An automatic SDS filter is available from the product list.

From the Product List:
– Applications Menu > Chemical Products > Products

In the Hazards section of the search criteria:

– SDS Verification: Select the age of the SDS verification you want to search for from the drop-down list.

– Launch the Search

Immobile products

Prerequisites
– The Filter immobile products option must be activated.
(see Activate an option)

This option allows you to identify products that have been in stock for over three years without any reported use in an individual file.

To identify immobile products, display the Product List:
– Applications Menu > Chemical Products > Products

In the search criteria, at the Immobile filter, check Yes and launch the Search

– Only users who have a role with the Consultation right on immobile products can view the immobile products.

– Without extended rights, they can only view the products of their own group.

– They can receive an alert (see Configure alerts)

– With the Display of immobile products on the dashboard option activated, the information will also be displayed on the dashboard.
