How do I create and use a customized substance list?

Prerequisites
– The Customized substance lists option must be activated
(see Activate an option).

To search from a predefined list of substances in the Product List, you can create a customized list.

Create a customized list

– Applications menu > Chemicals > Substances> Customized lists

1. Click on Create a new list

2. Name the list

3. Save

4. Add the CAS numbers of the substances one by one with

Use the customized list

– Applications menu > Chemicals > Substances > Known substances

1. Click on More filters

2. Select the list previously created in the Custom selector

3. Search

4. Click on Add all: if it doesn’t already exist, a Substances basket is created.

5. In the Product List, click on More filters and tick Filter with basket substances.

6. Search

How do you remove ambiguity about a substance and create an assignment?

Preamble :
When verifying the data in the Product sheet after integrating the MSDS, substance pellets (CAS number) may appear in black in the product composition.
They are visible in the product inventory and in the Product sheet, Product tab.
Ex: 64-17-5
You must specify the substance present in the product to make the link with the regulatory substance database.

Clearing up ambiguity

– Menu Applications > Chemicals > Products > Product Data Panel > Section Composition

1. Click on the label Ambiguous substance

2. Choose the correct substance identifiers corresponding to the information transmitted by the manufacturer in the SDS.

3. Save

If in doubt, contact the manufacturer.
The manufacturer is obliged to provide you with details on request.

Create an assignment

If the ambiguity is recurrent and identical for all the products inventoried in the database, it is possible to create an assignment.

This means that substances identified by this feature will receive the defined attribution each time they are present in the composition of a product.

– Menu Applications > Chemicals > Products > Product Data Panel> Composition section

1. Click on the Create an assignment label

2. In the Repository variant section, select the desired variant.

3. Save and apply

Monitoring of SDS download scripts

About our monitoring service
Our service provides real-time monitoring of the compatibility and availability of supplier sites with our download scripts. These scripts are essential to ensure that our users can obtain the Safety Data Sheets (SDS) they need without interruption.

How Does It Work?

Automated Download Scripts
Every hour, our automated scripts attempt to download an SDS from the corresponding manufacturer’s site. This test process ensures that the supplier’s site is accessible and that our scripts are up-to-date with any site changes that could affect the download.
Monitoring and notification
If a script fails to successfully download the SDS, this indicates a potential issue either with the supplier’s site or with the compatibility of our script. Such an anomaly is immediately reported to our development team and is displayed on the monitoring page to inform users.

Reading the Status dashboard

‘Supplier’ column
Lists the suppliers for which a download script is set up.
‘Script Status’ column
A green check indicates that the last download test was successful, showing that the supplier’s site and our download script are operational.
A yellow check indicates a failure in the last attempt.
A red cross indicates a persistent failure, which may suggest a problem with the supplier’s site or with our script.

Actions in Case of Anomalies

If an anomaly is detected:

Verification by the Development Team
Our technical team is automatically notified and begins the troubleshooting process.
No Panic
Users do not need to take any action. Anomalies are usually resolved quickly without impacting the ability to download SDSs.
Status updates
The page is regularly updated to reflect the current status of the download scripts.

How to add a product?

If the product does not exist in the database and has never been used by a group, a product sheet must be created.
The product data sheet will be linked to the MSDS.

There are two ways to access the New product sheet:

– Quick access Products> Create

– Applications Menu > Chemicals > Products > Create

1. The New product form opens in the panel.

2. Fill in at least these five details:
(required fields are highlighted in red)

Tip: To avoid the accidental creation of duplicates for the same product, take care when entering the Description, Manufacturer and Reference fields.
One character more or less will be considered as a new entry (e.g. SARL instead of S.A.R.L.).

Designation: the name of the product given by the manufacturer (indicated in section 1 of the MSDS)
The Manufacturer: not to be confused with the supplier
Reference : the manufacturer’s part number (the product code given by the manufacturer in section 1 of the SDS)
The physical state of the product: solid, liquid or gaseous
Group: indicate at least one first group

3. Save

Check data extracted from the SDS

The SDS data extractor is an efficient aid for filling in the Product Data Sheet.
However, it cannot replace the professional’s view.

After associating a Safety Data Sheet (SDS) with a Product Data Sheet,
it is necessary to check the data in the 4 tabs:

Product
Dangers
Properties
MSDS

Product

Compare Compositionof the product in the Product Data Sheet with the data in section 3 of the MSDS:

Number of substances
Identifiers
Concentration (pay attention to the signs: ≤ ≥)

– In case of error, correct with

– If you forget a substance, add it with

– In the event of excess substance, remove with

– If there is no CE Index identifier, Modify the substance data by adding the manufacturer’s classification.

If the substance identifier is in black (designation unknown) e.g. 26628-22-8, this means that the link with the regulatory substance database has not been established.
Then click on the link Ambiguous substance to select the correct identifiers for the substance concerned.

If information on the concentration of a substance is missing from the SDS and/or Product Data Sheet, it is considered at 100% for the calculations used to check the classification of the mixture.

Hazards

1. Compare Hazard statements on the Product Data Sheet with the data in section 2 of the SDS:

Categories of hazard statements

In case of error, correct with then delete the excess entry with or add the missing entry in the Classifications field.

If the Specify classification appears, click on it to specify.

2. Check for Dangerof the product :

Classified as hazardous
CMR

In case of error, correct with

3. Compare Precautionary statements on the Product Data Sheet with the SDS data in section 2.

In case of error, correct with then delete the excess tip with or add the missing tip in the Caution tip field.

Properties

Compare properties properties properties on the Product Data Sheet with the data on the MSDS in section 9, as a minimum:

pH
Boiling temperature
Flash point
Vapour pressure
Density
Kinematic and dynamic viscosity

This data has an impact on various tool calculations.
If they are missing, the tool will apply default data.
In case of error, correct with

FDS

Check the SDS data tracking information in the header, footer or section 16:

Language
Revision date
Revision no.

How to archive a product?

When it’s decided that a product is no longer needed, it’s a good idea to archive it.

Important:
Never delete a product sheet, as this will cause the archive to be lost.

Display the products list:

– Quick access Products

– Applications Menu > Chemicals > Products

1. Click on the product name to open its data sheet in the panel.

2. In the Product sheet:
Product tabSection Uses
On the use line, open the edit window with Edit
Until:Enter an end date.

3. Save

The use now appears ~~crossed out~~.

For multiple uses, repeat steps 2 & 3.

When all uses are archived, the product no longer appears in the results when the Used search criterion is set to Yes.

How to search for a product?

Access the list of registered products:

– Quick access Products

– Applications Menu > Chemicals > Products

Several search criteria and filters are available, depending on the platform configuration and the options activated by the administrator.

You can filter the results using the various search criteria available.
Quick search: this field lets you find a product by its designation, manufacturer, reference, CAS number, synonym or internal reference.
You can enter just a few letters to launch a search on matches found in the database.

How to associate a safety data sheet with a product?

Quarks Safety is connected to leading manufacturers of chemical products and reagents. This connection enables the automatic collection of SDSs when they are available from these manufacturers.

Access to this function is restricted to certain user profiles defined by the platform administrator.

Whether it’s a new product or an existing one without an SDS:

1. New product: Once the product has been registered, open the SDS tab.

1. Existing product: Open the product file by clicking on its designation in the list, then open the SDS tab.

2. In the Update SDS section

Case n°1 : Download the SDS from your computer.
Section Update SDS, on line Manually :
– Add the SDS from your workstation using the Browse button.
Case 2: A downloader exists for the manufacturer.
Section Update SDS, line Manufacturer’s site:
– Cliquer sur Update SDS
ou can also download the MSDS from the product list by clicking on in the SDS column.
Case n°3: There is no manufacturer’s SDS.
Current SDS section, on the SDS line :
– Click on Indicate a reason for absence of SDS
– Choose a reason from the drop-down list.
– Save

How to deduplicate – merge products?

Prerequisites

To access the product deduplication list:

– Applications Menu > Chemicals > Configuration > Deduplicating manufacturer’s products

1. Quarks Safety lists products that have at least the following in common:

Designations and references
References and manufacturers
Designations and manufacturers

2. In the column To be merged, select the products to be grouped.

3. In the Master column, select the product whose information will be retained after the merge.

By default, the Master record is the first in the list.

4. Save with Merge.

The merging logic is as follows:

If information is missing from the master file, it is imported from the other file, if available.
If the information is present in each card, that of the master card is retained.
Storage information is pooled (depending on activated options)
– Purchase references
– Uses
– Actual stock
– Stock monitoring
– Flasks list
– Batches list

Important information

– The product sheet created as a result of the merge is automatically displayed in the panel.

– Merging files and sharing associated information removes any confidentiality from one of them.

How to manage equivalent products?

Prerequisites
– have extended rights
– the Product Equivalence List option must be enabled
(see Switch to extended rights | Enable an option)

Difference between equivalent or identical products:
Equivalent products: Product equivalences allow groupings based on the hazards of the products.

Identical products: Identical products allow for the declaration of an alternative product, having a composition similar to the reference product.

Equivalent products

To create a product equivalence:
– Applications Menu > Chemical Products > Risk Analysis > Equivalent Products > Create

In the New Product Equivalence form:

1. Group: Select the relevant group

2. Activity: Select the relevant activity
At this stage, it is possible to create a new activity by clicking on
3. Designation: Name the equivalence

4. Reference Product:
Select the desired product using the assisted input: enter the first few letters of its name to get a list of suggestions.

5. Equivalences:
Select the desired product using the assisted input: enter the first few letters of its name to get a list of suggestions.
It appears associated with a pre-checked box.

Multiple equivalent products can be selected for the same product.

It is possible to remove a product from the selection by simply unchecking the associated box.

6. Save

The equivalence appears in the list.

View the equivalences

To access the Product Equivalence List:
– Applications Menu > Chemical Products > Risk Analysis > Equivalent Products
Creating an equivalence displays the pictograms and hazard scores of each selected product to control the equivalence of hazards.

Duplicate an existing equivalence

It can be useful to duplicate an equivalence to apply it to other groups or activities.
1. Click on the action Duplicate of the equivalence to open it in the panel.
2. Select the new group or the new activity from the dropdown lists.
3. Save

The new equivalence has been added to the list.
